Booking Conditions

These detailed booking conditions apply to all bookings with Afriroam Safaris.

1. Confirmation & deposit

  • A 20–30% deposit confirms your booking
  • The deposit is non-refundable beyond 60 days
  • Final balance is due 45–60 days before travel

2. Pricing & inclusions

The price quoted in your itinerary covers exactly what is itemised. Always check the "Included" and "Excluded" sections of your final itinerary carefully.

3. Travel insurance, mandatory

Comprehensive travel insurance is required for all bookings. It must cover:

  • Medical emergencies
  • Emergency evacuation (Flying Doctors East Africa cover, $500,000+)
  • Trip cancellation
  • Lost luggage

Send a copy of your policy to us before final payment.

4. Passports & visas

You are responsible for ensuring your passport is valid for at least 6 months beyond your travel dates. You must obtain your Kenya eTA online before travel. We can assist with the process, just ask.

5. Health & vaccinations

You are responsible for consulting a travel doctor before your trip and obtaining any required vaccinations. Anti-malarial prophylaxis is strongly recommended.

6. Cancellation by you

| Days before travel | Refund | |---|---| | 60+ | Full minus 10% admin | | 45–59 | 75% | | 31–44 | 50% | | 15–30 | 25% | | 0–14 | None |

7. Cancellation by us

In rare cases (force majeure, lodge closure, etc.) we may need to cancel. We'll offer:

  • Equivalent alternative dates, OR
  • Full refund of payments made to us

8. Changes to your booking

Minor changes (additional traveller, extra night) are usually possible at no charge if more than 30 days out. Major changes may incur supplier fees.

9. Lodge substitution

In rare cases we may need to substitute a lodge of equivalent or higher standard. We'll notify you in advance.

10. Complaints

If something isn't right during your trip, contact your guide or our 24/7 emergency number immediately so we can fix it on the spot. Post-trip complaints are harder to resolve. We're KATO members and abide by their dispute resolution process.
